Event Planning and Event Promotion

Event planning is the process of planning events. Event planners handle the totality of the event and event planning focuses on all elements of the event details. Event production, event promotion, catering, selecting the event venue, are just some of the things that event planners are responsible for. If you are an event planner, you most probably have your own techniques and strategies for planning an event. If you are new at this, there are various tips for you to consider.

Event Promotion

Date selection can vary and although most of the time it is important to make sure that there are not other similar events being held on the same date, it can sometimes work towards your advantage. For example, multiple events that surround a similar theme are held each year during Art Basel Miami Beach with much success.

To start with, you should know your audience very well. When planning an event it is important to determine you’re a target audience. Once you know who you target audience is you can begin to put together your event marketing strategy.  This step is crucial to knowing how to promote your event in order to sell tickets and to get those bodies in the door!

You should create a list with all of the elements required for planning your event. Spend some time to take down notes with regards to the requirements of your event space, the date and time of event, stage lighting, sound, catering, and security to make sure you are not leaving anything out. Make a first draft as soon as possible and as things go along be sure to update your list accordingly.

It is essential to identify a clear goal for your event and sculpt the event around this objective. Is it a launch party to create awareness about a new product or business? Is it a fund raising gala to raise money for a particular charity or cause? Is it a concert to support a new album release or musical act that has just arrived on the scene? It is hard to determine the success of an event if you don’t know the goal. Be SMART when it comes to goal-making. Make sure that your goals are Specific, Measurable, Attainable, Realistic and Time-bound.

Avoid event wars. What does this mean? You have to know whether there are other popular events in line with yours. This means that you should try to avoid dates where other industry events are being held.  In some cases this may work, such as Art Basel Miami Beach when many similar events can be on the same date. However, generally it is better idea to avoid planning your event on the same date as others events that you may share an audience with.

Be open for change. Nothing is perfect in event planning. That is why, you have to be flexible. Make sure that you explore plenty of options when it comes to the event venue, date and time and other event elements that are subject to change.

Furthermore, have a good marketing strategy for the event. Traditional event marketing tools such as flyers, print ads or TV ads are a great start, however be sure to implement some of more current event marketing tools such as social media and experiential marketing techniques.

Knowing what your audience wants in order to get their attention is crucial when coming up with an effective marketing strategy for you event.  Now, once you have their attention, then, it’s time for you to make your great move in advertising. Sell or promote your event wisely! Happy Event Planning!

What are some of the best event promotion techniques?

Event promotion is one of the elements that can make any business’s marketing strategies a huge success. This is so much so that, if one doesn't plan out the whole campaign it can become very difficult to collect benefits from organizing the whole event. With online marketing gone to a whole new level, social media has become the center of the world. Hence, using this tool one can make any corporate happening a huge success on its own.

Ultra Music Festival promotes the event via social media and email blasts with announcements about the line-up and ticketing tiers. This keeps the audience engaged throughout the year and draws them to their website to explore content surrounding  the music festival.

Event Promotion

With the online world now being the center stage for all marketing tactics, it should be known that the customary methods of marketing have not gone obsolete. The traditional marketing tools are in fact still intact and it is the combination of offline and online methods that is now making event promotion a huge success in the current times.

With the online world now being the center stage for all marketing tactics, it should be known that the customary methods of marketing have not gone obsolete. The traditional marketing tools are in fact still intact and it is the combination of offline and online methods that is now making event promotion a huge success in the current times.

So, what exactly are the popular marketing trends that companies are now adopting to make their events a fruitful?

Organizations are making investment in out of the way methods. Currently, the efforts are all geared towards assuring that the time and money that goes in investments are able to give a turnover in the optimum ways. Therefore it means that the target is now more towards quality and not quantity. This should be the basis of your judgement when you are sending invites for any event promotion.

People who are attending your event need some practical and real information to believe. All the experiential details should be managed. This means that once again you should deliver quality and substance and not the revenue collected from a couple of days. Therefore, go for involving and engaging displays and sessions should exhibit communication and of course, valuable discourse in your event promotion.

At present, the exhibition of audio and visual content has become the norm. This on the other hand doesn't mean that you go for glamour. The idea here is to be dynamic with hints of sophistication for you definitely don’t need to make your event promotion a mainstream occurrence. So, engage your audience in live session so that your attendees are not left out of the event. After all it is your attendees that make or break any event.

Dynamic branding is without any doubt the new trend these days. This should be kept in mind that branding is the key element in making any event promotion a huge success. Thus, the message that you choose is of integral importance and should nail the whole crux of your brand. In the event itself the message should be concise, comprehensive and of course influential on the target audience.

On the last note, there is no single recipe that automatically makes event promotion a success, as there are many ways to turn any particular strategy by customizing it according to your brand and message. You should always consider a number of options at first, select the best out of each and find the one that works best for you.

Event Promotion

Event Promotion

All the efforts into event planning will be useless if the targeted market does not attend the event. This brings in a concept called event promotion. Promoting an event is making the people that are targeted by the event organizers not only to attend, but also to want to attend. Over the years event organizers have come up with ideas that have not only made their events successful, but also memorable.

There have been panel discussions at Winter Music Conference by leaders in the IDM music industry and concert promotion offering their experience in event promotion.

Event Promotion

Here are some ideas to get you going…

Be Concise in the Advertisement Media

You probably have been given a flyer of an event at one point in your life. How much of the information do you read? A paragraph utmost? This is precisely why your advertisement media should be brief and clear. You must communicate what you want to pass on in your event promotion material within the first sentence.

Promotion Transfers

This is like the student exchange program, only this time it is with the media stations such as TVs and radios. What happens here is that you promise to promote them on your flyers if they slot in an ad of your event in their programs. Remember radios and TVs have a very wide reach to targeted people. Actually, they are the best form of event promotion there is today.

Social Media

This is the newest method of event promotion. A good example will be opening a page on Facebook for your event, link it with your website and other social media platforms such as twitter, Google+ and Pinterest. Social media has a very wide reach. If you are able to market your event well on social media, it will be an instant success. You can give discounted tickets to people that like your event page on Facebook.

Concentrate on your Target Audience

Do not waste a lot of the resources allocated to the event promotion budget on people who may not attend your event. The industry standard is spending 70% of your event promotion budget on the target audience. If you are promoting a religious convention, concentrate on Christian media and websites to get the message across. Promoting the event in sports websites is counterproductive…you get the drift.

Get your Facts Right

There is nothing that has a devastating effect on events’ attendance like a sudden change of venue or participants. If your promotion material says person ‘X’ will be addressing the meeting or band ‘Y’ will be performing or the event will take place at venue ‘A’, please let these facts be right. A sudden change of the facts as per your event promotion material will make your event look disorganized. People like being associated with events that are properly organized. Do your best to keep your word as shown in your event promotion material. This industry is built on reputation and if yours is good, you will find organizing and promoting events an easy task.

Prepare for any Eventuality

It is expected that things will not go as expected in major events. As an events promoter, you should be prepared for these eventualities with an alternative program. You should have a plan A, B, and C for any event that you are promoting.

How to go viral on Pinterest

Going viral on Pinterest can get thousands of eyes on your event page in a matter of hours. Whether your party is taking place in one of the hottest venues in Miami or if you're celebrating in one of the many other available spaces to host a party in Miami, getting your page to go viral can increase your exposure to potential attendees and can result in bringing in a huge crowd.

One of the most important things to do when trying to get your page to go viral is to make a description that is both catchy and accurate. This might include adding in a pun or an exciting statement that will make people willing to share it with others by pinning it themselves. Take a look at other viral pages and get a good feel for what they have going on that makes them so popular in order to incorporate those same elements into your page.

Making your page Pinworthy

In order to go viral, you will need to have more than just a catchy title, your page will need enough substance that will make someone want to pin it. The best way to do this is to highlight the best parts of your venue or event, sometimes while adding no text in order to let the picture speak for itself. Many party planners in Miami do a great job of taking the pictures which they feel have the best chance of going viral and pinning them, and only them. When you pin too many things, something truly special may end up being lost in the mix.

You will also help yourself go viral on Pinterest by interacting a lot with other users. The more people you have following your page, the better chance you have that your material will go viral on the site since you already have a built in audience who can easily see anything you put up, allowing them to share it easily with others.

Choosing a theme for your event

Are you trying to plan a Miami event and feeling overwhelmed by a multitude of choices? Are you in need of a few tips on planning your event? It's not surprising. Right now, you're probably trying to figure everything from catering to entertainment and what kind of décor. Should you have swag or gift bags for your event? Those just a few of the many decisions that you need make during event planning.

One of the best ways to narrow your choices down is to have event management choose a theme for the event. Having a theme will also give the event an overall cohesive look. Even "serious" events such as business conferences can benefit from having a theme.

The theme that event management chooses should be one that ties in with the general purpose of your conference or event. For instance, a company beginning a new venture could use "sailing" as its theme, as in "Sailing into a bright new future."

Once a theme is chosen, you will see how the other pieces will fall into place. With the "Sailing" theme, for example, you can now choose nautical colors and decorations. If you are going to have swag, select items related to sailing or the ocean and then present them in gift bags adorned with sea creatures. As for dining options, you might want to choose seafood or give your menu items names with sailing references such as "Barnacle Bill's Burgers."

When choosing a venue, try to find one that will naturally compliment your chosen theme, such as a seaside location for the "Sailing" event, or one that is neutral, such as Soho Studios, which is located in Miami's vibrant Wynwood Art District. This is a 70,000-square-foot "blank canvas" of a structure that can be transformed to meet the needs of your theme.

While not every event needs a theme, having one will help you greatly narrow down your choices and will also help make marketing your event easier. Potential attendees are more likely to remember an interesting themed event over one that fails to conjure up a mental image.

Google Glass and the future of event planning

People love attending great events but often, once they are there, think little about all the hard work that has gone into preparing the site and elements for the big night. However, planning your event requires a wealth of organization skills to promote a successful date. On the competitive scene of South Florida, just acquiring a venue in Miami that meets all your needs takes a true commitment to parsing the value of each one that is available. Having a good team around you will only go so far if you do not have things in order for yourself.

Using event planning tools is vital in today’s connected world of social media and mobile technology. People look to their smart phone for updates regarding the topics that interest them and these numbers are only going to rise. As time goes by more technology is becoming integrated to this "internet of things" such as our cars, watches and TV. Soon many of us will be walking around with a collection of tools that enable us to perform tasks that otherwise would have taken a desktop computer. In some cases there is no prior equivalent product on the market.

Google Glass is a new offering from the tech giant that has been getting a mountain of press over the last 6 months. The question is, how can it help manage your date at an event space in Miami? Well, first this is a wearable technology too! They are essentially Internet capable glasses. So, as opposed to hawking your cell phone all the time, interrupting conversations or becoming totally distracted by a new email message, we can have a constant flow of data that is directly in view at all times. While some people might imagine this to be the next step towards Borg singularity it just might be the tool you have always wanted as an event planner or event promoter.

Event planning is hard enough but the crucial part is getting people to show up. If you are working with a venue in Miami for your event then you already know that there are plenty of options to choose from for it. However, it is vital to play into the trends so that people fill your Miami event space. So what are some of the best practices available to assist in the promotion?

Well, for one, it is all about getting your message where the people are today. To reach out to the largest collections of people in these days means taking advantage of social media. Yeah, Miami events can be difficult but putting together an unsuccessful date that loses money could mean more than an empty wallet, it can damage your reputation as a promoter.

There are plenty of social media platforms online that you can utilize to spread your message. Since Twitter is all about the current conversation as it is develops and LinkedIn dominates the professional or career sector, what are the best networks to get the word out to the people you want to attract? The largest collections of general population users in America are located on Facebook and Google+, but should you use both?

Luckily it is quite easy to get the word out on these sites because they are both about showcasing content. If you have a website for your band, organization or events then incorporate social media functionality right onto the site. For Facebook sharing, this means adding a "Like" button to your site and articles so that visitors and fans can help to spread your message to their friends and followers. This is probably the best social tool around right now. A similar asset from the folks at Google is the "+1" button. Since everyone with a Gmail account is automatically signed up for Google+ they have a large membership in their social media platform. Both are great ways for your audience to give you feedback that you can use for planning and promoting events.
